What is on the shelf. What is in the system. Count three items, review differences, then verify stock and movements. This guide uses demonstration data only. Original Lynxbe screens · Demo data

Open Stock Count. In POS Inventory, choose Stock Count. Arrange a counting time and check the business and item units. Original Lynxbe screens · Demo data

Two choices. Check the actual list. Start Full Count and Spot Check are separate choices. Spot Check does not automatically choose a sample here. Demo data · Separate Spot Check alternative

Start a full count. Choose Start Full Count. Progress begins at 0 of 3, and no counted quantities have been entered. Original Lynxbe screens · Demo data

Empty and zero mean different things. Open Example flour. Empty means not counted yet. Enter zero only when no physical stock remains. Original Lynxbe screens · Demo data

Correct a value that cannot be saved. A negative quantity is not a valid count. Read the message and replace it with the physical quantity found. Original Lynxbe screens · Demo data

Count 8 kg of flour. Enter 8 in Counted Quantity. System quantity is 10 kg. Check the unit, then choose Save. Original Lynxbe screens · Demo data

One item counted. A difference appears. Progress is 1 of 3. Flour is counted as 8 against 10 in the system, showing a difference of −2.00. Original Lynxbe screens · Demo data

A matching quantity still needs a count. Open Example oil and enter 5 L. A quantity matching the system still needs a saved count result. Original Lynxbe screens · Demo data

Two items counted. Oil matches. Progress is 2 of 3. Oil is counted as 5, matching the system’s 5. Cups have not been counted yet. Original Lynxbe screens · Demo data

No cups left? Enter zero. For Example cups, enter 0 units and choose Save. Zero becomes this item’s stock when the count is completed. Original Lynxbe screens · Demo data

3 of 3. Check every number. Progress is 100%. Flour 8, oil 5 and cups 0. Their differences are −2, no difference and −12 respectively. Original Lynxbe screens · Demo data

Review again before completing. Reopen an item and inspect its saved quantity. Our flour is already correct at 8 kg, so close with Cancel. Original Lynxbe screens · Demo data

Complete changes stock. Review first. Before Complete, check every item and movements during counting. There is no extra confirmation screen after the click. Demo data · No live stock update

Complete and return to the opening screen. After Complete, a success message and Physical Stock Count appear. Open item details to verify the result. Demo data · No live stock update

Verify: flour is now 8. Open Example flour from Inventory Items. In Stock Level, check that the quantity is 8 kg. Original Lynxbe screens · Demo data

Read the adjustment movement too. Recent Movements shows a count_adjustment of −2.0 for flour. It explains the change from 10 to 8. Original Lynxbe screens · Demo data

Verify: zero stayed zero. Open Example cups. Stock Level shows 0 units. The item was not left at 12 or skipped. Original Lynxbe screens · Demo data

Setting zero also has a movement. Cups shows a count_adjustment of −12.0. It explains the change from 12 units to zero. Original Lynxbe screens · Demo data

Oil matches. The count is checked. Oil stays at 5 L without a new adjustment movement. Final quantities: flour 8, oil 5 and cups 0. Original Lynxbe screens · Demo data

Original Lynxbe screens show isolated demonstration data. Spot Check is a separate alternative to the Full Count route. Counting actions, final quantities and adjustment movements are demonstrations only; no live stock changes. Pages use their original routes; the full application menu is not captured.

The steps. At your pace.

Before starting: the correct business, stock-count permission, active items and clear base units. Arrange to stop movements during counting and completion, and physically check each item you intend to update.

  1. Arrange counting and open inventory.

Open POS Inventory, then Stock Count, with the correct business and stock-count permission. Check base units and arrange to stop sales, receipts and inventory movements during counting and completion. An automatic lock is not promised. POS inventory is separate from the commerce catalog.

  2. Choose a route and check the list.

Choose Start Full Count. Spot Check is a separate alternative: this screen has no sample or category picker, and without filters both choices show all active items. Our list begins with flour 10 kg, oil 5 L and cups 12 units. Progress starts at 0 of 3.

  3. Enter the physical quantity for each item.

Select an item, enter Counted Quantity and choose Save. Our example is flour 8 kg, oil 5 L and cups 0 units. Empty means uncounted; zero is a real quantity that can set stock to zero on completion. Correct negative values and non-numeric text. A matching quantity such as oil still needs entering and saving.

  4. Review progress and differences before completing.

Check 3 of 3, 100%, and quantities 8, 5 and 0. Opening differences are −2 kg for flour, no difference for oil and −12 units for cups. Reopen an item to correct it before completion; if already correct, choose Cancel, as with flour staying at 8. Progress does not prove accuracy, and restoring an exited count is not promised. Recheck if movements occurred during counting: the displayed opening-stock difference is distinct from the adjustment against current stock at completion.

  5. Choose Complete only after review.

Complete applies stock directly, without another confirmation or a promise of automatic undo. It can run below 100%; only counted items participate, and uncounted items stay unchanged. A counted item without a meaningful difference gets no adjustment movement. The desktop action is in the header; on mobile it is at the bottom. After success, the opening screen returns rather than a new results report.

  6. Verify item quantities and movements.

Open Inventory Items and check each item. Flour shows 8 kg with a −2.0 count_adjustment; cups shows 0 units with −12.0; oil remains 5 L without a new adjustment. Our oil fixture has no prior movements, so it shows No recent movements. If results differ from expectations, refresh and inspect what has already changed before trying again. This checks the result beyond a success message. Every screen and outcome in the guide uses isolated demonstration data.

Our demonstration result: 3 of 3 counted. Flour 8 kg, oil 5 L and cups 0 units. Two adjustments: −2 for flour and −12 for cups; oil unchanged. This is isolated data, not a real stock update.

Empty means uncounted. Zero is a real quantity. Complete applies directly, even when not every item is counted; review quantities and stock movements before choosing it.

The screens and behavior checked.

Checked against Lynxbe screens and source behavior on 15 October 2026. Captures and demonstrations are isolated; this does not prove a live business stock update.

Walk through the same count.

A read-only walkthrough. Select a step or use Next. It opens no live count, changes no real stock and creates no live movement.

What is on the shelf. What is in the system.

A stock count compares physical quantities with POS inventory. Our three items are Example flour, Example oil and Example cups. Opening stock is 10 kg, 5 L and 12 units; we enter 8, 5 and 0 respectively. We then check the item quantities and adjustment movements. Every quantity and result is isolated demonstration data; no real business stock changes.

Open Stock Count.

Open POS Inventory and choose Stock Count. Check the selected business and your stock-count permission. Prepare the items and their base units. Arrange to stop sales, receipts and stock movements during counting and completion; this screen does not promise an automatic lock. The guide opens original pages through their routes; it does not show the full menu scrolling. This is POS inventory, separate from commerce catalog stock.

Two choices. Check the actual list.

The opening screen offers Start Full Count and Spot Check. There is no item or category selector on this screen. Without a filter, both choices load all active items. Inspect the actual list rather than assuming a sample was selected. This chapter shows a separate Spot Check alternative. Next, we begin the Full Count used by our example.

Demo data · Separate Spot Check alternative

Start a full count.

Choose Start Full Count. The three-item list opens with Progress at 0 of 3. System quantities are flour 10 kg, oil 5 L and cups 12 units. Counted quantities are still empty. Starting a count records opening system quantities; those values do not prove stock stayed unchanged after later movements.

Empty and zero mean different things.

Select Example flour to open Counted Quantity. System quantity is 10 kg. The field opens empty, and Save stays unavailable until a valid quantity is entered. Empty means uncounted; 0 is a real count, not a way to skip an item. Enter the quantity found in the item’s base unit, rather than packages unless packages are its unit.

Correct a value that cannot be saved.

The validation example contains a negative value. A counted quantity cannot be negative appears, and Save is unavailable. Non-numeric text also needs correction. Replace the value with the valid physical quantity. The prompt stays open while saving and closes after a successful response; a failed save does not prove the item was counted.

Count 8 kg of flour.

Our physical example contains 8 kg of Example flour. Enter 8 in Counted Quantity and confirm the unit is kg. Choose Save and wait for the list. Saving records a count result. Applying the count to stock happens through Complete later, rather than by typing the quantity.

One item counted. A difference appears.

After saving, check that flour is marked counted and shows Counted: 8. Progress is 1 of 3, or 33%. The −2.00 difference is counted quantity minus opening quantity: 8 minus 10. This is a count difference, not proof that an inventory movement already exists. The other two items remain uncounted.

A matching quantity still needs a count.

Open Example oil. System quantity is 5 L, and the physical quantity found is also 5 L. Enter 5 and choose Save. An empty field does not mean the quantity matches; it means the item remains uncounted. There is no need to change a number merely to create a difference.

Two items counted. Oil matches.

Check Progress at 2 of 3, or 67%. Oil shows Counted: 5 against System: 5, without a variance badge. Its success color indicates a counted item without a meaningful difference; it does not mean the whole count is complete. Cups remain empty and still need counting.

No cups left? Enter zero.

Our example has no physical cups remaining. Open Example cups, whose system quantity is 12 units, and enter 0. Choose Save. Zero is intentional: completion can set the item’s stock to 0. Do not use zero for an item you have not checked, or leave it empty to describe an empty shelf.

3 of 3. Check every number.

Check all three items are counted and Progress is 3 of 3, 100%. Results are flour 8 kg, oil 5 L and cups 0 units. Opening differences are −2, 0 and −12. Progress counts items with an entered quantity; it does not verify the physical count. Do not add differences expressed in different units into one quantity.

Review again before completing.

If you find a mistake before completion, select the item again. The field opens with the saved count. Compare it with the physical count; change the quantity and choose Save if needed. If it is already correct, close with Cancel rather than saving the same value again. We reopen flour, verify 8 and choose Cancel, keeping the example consistent. This is a check within the active count, not a promise that an exited count can be restored.

Complete changes stock. Review first.

Review quantities and differences before Complete. The button can work below 100%; only items with an entered count participate, while uncounted items stay unchanged. The screen compares with opening stock; completion calculates adjustments against current stock. A movement during counting can therefore change the final difference or make the physical count stale. Arrange to stop movements and recheck if anything changed. Complete applies stock directly without another confirmation; automatic undo is not promised.

Complete and return to the opening screen.

After review, choose Complete. On desktop it is in the header; on mobile it is in the bottom action bar. A success message appears, and the page returns to Physical Stock Count rather than opening a new results report. Do not start another count just to inspect the previous one. Open inventory item details to check quantities and movements. Here the action and result exist only in isolated demonstration data.

Verify: flour is now 8.

Open Inventory Items and select Example flour. In Item Detail, read the Stock Level card and check current quantity is 8 kg. Verify the item name and base unit first. Our example has no movements between opening and completion, so stock moves from 10 to 8. This is the actual item result screen, not an invented summary.

Read the adjustment movement too.

In the same item, read Recent Movements. Our example shows movement type count_adjustment with quantity −2.0: 10 kg before completion, 8 kg after. An adjustment movement can differ from the opening count variance if other movements occurred. Check the item, current stock and movement together rather than relying on a success message alone.

Verify: zero stayed zero.

From Inventory Items, open Example cups. Check Stock Level shows 0 units. The saved count was an intentional zero, so this is expected. If cups had remained uncounted, completion would not have set them to zero. An out-of-stock appearance is not a substitute for checking the quantity and correct item.

Original Lynxbe screen: Verify: zero stayed zero. Stock count with isolated demonstration data.
Original Lynxbe screens · Demo data

Setting zero also has a movement.

In the cups item’s Recent Movements, check count_adjustment with quantity −12.0. This reduces 12 units to 0 according to the entered count. The example has two adjustment movements in total, one for flour and one for cups; kg and units cannot be added into one quantity. If results differ from expectations, refresh and inspect the movement sequence before another action. Do not treat repeating Complete as a repair without checking what has already changed.

Oil matches. The count is checked.

Check Example oil too: stock remains 5 L, and no count_adjustment was created because there was no difference. This isolated item shows No recent movements; your business may have earlier movements unrelated to the count. Finish with three verified quantities: flour 8 kg, oil 5 L and cups 0 units, plus two adjustment movements of −2 and −12. These are demonstration results, not changes to live stock.
