The steps. At your pace.
Before starting: the correct business, authorized permission-management access, an existing teammate and a clear task. WhatsApp is available in this example and Batch stays off. Do not edit an administrator’s access just to test the screen.
Define the teammate’s task.
Noa is a service representative who needs to view and reply to conversations assigned to her. Separate menu visibility, allowed actions and conversation access. This example does not change a plan, business modules or role, or grant administrator access.
Open Permissions and select Noa.
Open Permissions in system settings. If a business filter is available, choose the correct business. Find Noa Example or noa@example.invalid, select her and check the full name in the heading. Leave Batch off so the change applies to one person.
Review WhatsApp visibility.
In Menu Visibility, check that the required WhatsApp entry is enabled. Visibility does not add a module to the plan or replace action permission and data-access checks. Leave other entries unchanged according to the role’s needs.
Review Conversation Access in WhatsApp.
Open WhatsApp and find Conversation Access. View Own Conversations is already enabled and locked; there is nothing to switch on. It covers conversations assigned to the teammate. There is no generic record-scope selector on this screen.
Leave wider access off.
Keep View Team Conversations, View All Conversations and View Unassigned Conversations off. These add team-assigned conversations, a business-wide view and inquiries awaiting assignment respectively. Noa also receives no assignment, takeover or additional specific-user access in this example.
Enable Send Messages.
Scroll to Messaging Features and enable Send Messages. This is a separate action permission from conversation access. It does not connect an account, approve a template or guarantee delivery. Creating and managing templates have separate permissions. No message is sent in this guide.
Review the settings before saving.
Check that Noa is selected and Batch is off. WhatsApp and sending should be on, with the three wider access switches off. Unsaved changes means the edit still needs saving. A role badge does not replace this check.
Use the menu Preview.
Open Preview and choose Enter Preview Mode. Review the menu presented for Noa. This does not log in as Noa, save changes or prove a conversation restriction. Login As User is a separate action and is not used here.
Exit Preview and save.
Choose Exit Preview Mode and confirm Noa is still the selected person. Choose Save Changes on desktop or Save on mobile, then wait. If saving fails, do not assume access changed. This demonstration saves only isolated settings.
Reload the permissions.
Reopen Noa’s permissions and review freshly read settings: WhatsApp and sending on; team, all and unassigned access off. A success notice or switches left over from the edit are not enough.
Check the permitted conversation.
Outside menu Preview, inspect Noa’s conversation list and open her assigned conversation. Check that the assignment and content load. This checks that the setup allows the work she needs. It sends no message and does not prove delivery.
Check an opening that should be denied.
Check that a colleague’s conversation does not reveal its content to Noa, including a direct open. A reduced list alone is not enough. If unauthorized content opens, stop and report it to the administrator. The guide uses isolated conversations only.
The result being checked: WhatsApp and sending on for Noa, with team, all and unassigned conversation access off. Settings are read back, her own conversation opens, and an unauthorized opening is checked too. No message is sent.
Noa missing? Check the business, search and filters. WhatsApp tab unavailable? Ask the administrator to check availability and access. Settings not saved or unauthorized content opens? Stop and report it; menu Preview is not enough.
