B2B ordering

B2B ordering - from a customer price list to approval

Every business customer gets their own price list - price, discount and a minimum pack size per catalog item - and an order moves from draft to submission to a manager's approval or rejection, with a sales rep limited to ordering only for the customers they handle.

What a B2B ordering system is

A B2B ordering system is the process a business uses to sell to other businesses from a catalog and a price list, not a one-off till sale. In Lynxbe every business customer gets their own terms - a fixed discount on top of a given price list - and every catalog item can carry a special price, a discount, a minimum quantity and a pack size. An order opens as a draft, moves to submission, and a manager approves or rejects it before it moves to shipping and delivery. A sales rep only sees and orders for the customers assigned to them.

What the B2B ordering system actually does

A catalog with price, stock and pack size

Every catalog item carries a unit, a default pack size and optional stock tracking. An order quantity that does not divide evenly into the defined pack size is checked and rejected before it reaches approval.

A price list and terms per customer

Build a price list for a group of customers, and set a special price, a discount percentage and a minimum order quantity per item on it. On top of the price list, a customer can carry their own fixed discount, applied after the price list's discount.

An order that moves from draft to submission to approval

An order opens as a draft, is submitted and waits for a manager's approval. A manager can approve, reject or edit the order before approving it, and after approval it moves on to shipping and delivery - every status change is recorded in the order's history.

A rep limited to the customers they handle

A sales rep who is not a manager can only open and submit an order for a customer they are responsible for, who is on their team, or who was explicitly assigned to them in the customer's terms. Trying to order for another customer is blocked.

Cost and margin stay with management

Cost and margin fields on the order are hidden entirely from a rep or a customer - only the manager role sees them. That lets a rep place orders without being shown the business's margin structure.

An order confirmation as a PDF

Export an order confirmation as a PDF with the order details and its line items, to send to the customer or keep for internal records.

FAQ

B2B ordering FAQ

How does a customer price list work in B2B ordering+
Build a price list and assign customers to it. Every item on it can carry a special price, a discount percentage and a minimum order quantity. On top of the price list, the customer itself can carry a fixed discount that applies after the price list's own discount - price list discount first, then the customer's.
What is a pack size and how is it checked+
A pack size is the quantity an item is sold in - a case of 12, for example. Every item has a default pack size, and a customer's price list can set a different one. An order quantity that does not divide evenly into the pack size is rejected before it reaches approval.
Who can approve a B2B order+
Only the manager role approves or rejects an order. A rep can open and submit an order, but cannot approve it - every submission goes to a manager's approval before it moves toward shipping.
Can a rep order on behalf of any customer+
No. A rep who is not a manager is limited to customers they are responsible for, who are on their team, or who were explicitly assigned to them in the customer's terms. Opening an order for another customer is blocked by the system.
Does the customer see the business's cost and margin on the order+
No. Cost and margin fields on the order are only returned to the manager role. A rep and a customer see the order without those fields at all.
Which plan includes the B2B ordering module+
The B2B ordering (Commerce) module is included in the Lynxbe Growth, Pro, Restaurant and Enterprise plans. It is not included in the Starter plan or the free plan.
